Filters in business email

Learn how to sort and organize the emails you receive.

What are filters?

Filters direct incoming emails to the folder in which they should be delivered. They can reduce clutter in your Inbox and help keep you organized. You can even set up filters to direct unwanted emails to your Trash or Spam folder.

You can create up to 500 filters. Note: Filters are only available in Full-featured Mail.

Create a filter

  1. Sign in to your business email account.
  2. Click the Settings icon.
    The Settings icon.
  3. Click More Settings.
    The More Settings link.
  4. Select Filters.
    The Filters option.
  5. On the Filters pane, click the Add new filters link.
    The Add new filters link.
  6. On the Edit Filter pane, enter a name for your filter in the Filter name field.
    Enter a filter name.
  7. Under Set rules, set your filter rules base on:
    • From
    • To/CC
    • Subject
    • Body
    The Set rules section.
    Note: Each rule has criteria for contains, does not contain, begins with, and ends with. Select the criterion then enter a filter value with or without the Match case option. The filter value for From and To/CC filters can be either full or partial email addresses, including just the domain name to filter all email from a domain.
    Select a criterion.
  8. Select a folder to filter the messages to or create a new folder.
    Select or create a new folder.
  9. Click the Save button when ready.
    The Save button.

Edit a filter

  1. Sign in to your business email account.
  2. Click the Settings icon.
    The Settings icon.
  3. Click More Settings.
    The More Settings link.
  4. Select Filters.
    The Filters option.
  5. On the Filters pane, select the filter you wish to edit.
    Click a filter to edit it.
  6. Make any changes as shown above.
  7. Click the Save button when ready.
    The Save button.

Delete a filter

  1. Sign in to your business email account.
  2. Click the Settings icon.
    The Settings icon.
  3. Click More Settings.
    The More Settings link.
  4. Select Filters.
    The Filters option.
  5. On the Filters pane, select the filter you wish to delete.
    Click a filter to edit it.
  6. Click the trash can icon.
    The trash can icon.
  7. Confirm you wish to delete your filter by clicking the Delete button.
    Confirm that you wish to delete your filter.
